Our Services

Our inventory make, check-in, mid-term inspection and check-out reports are designed to provide an independent record as to the condition of a property along with all its fixtures, fittings and contents so you can be safe in the knowledge that should the worst happen, you'll have all the facts ensuring you are not left out of pocket.

The inventory make is the initial report that is made up upon the commencement of any residential tenancy. It is designed to give an independent and exhaustive guide as to the condition of a property, along with its contents and all fixtures, fittings and decor.

The inventory clerk will take meter readings for gas, electric and water supplies at the time and note them on the report.

The tenant will be sent a copy of this report upon its completion and will then be given a grace period of 7 days with which to send through any amendments they feel are necessary.

On the day the tenancy commences the check in appointment will take place between the tenant and inventory clerk.

The clerk will check the inventory report is correct and will document the condition and cleanliness of the property along with all fixtures, fittings and contents.

The clerk will also record what keys the tenant is provided with. All meter readings for gas, electric and water supplies will be taken and recorded.

The clerk and tenant will then agree the condition of the property and the report will be co-signed by both parties to confirm this.

Although called mid term inspections, these are usually carried out on a quarterly basis and are designed to give the agent or landlord an on-going picture as to how the property is being kept.

The report serves a number of purposes. It can highlight any damage or potentially dangerous issues that need to be addressed by the landlord at the time rather than waiting until the end of the tenancy.

This could in turn save vast sums of money. It can also provide a managing agent an insight into any maintenance issues that may need to be addressed.

The check-out report is vitally important. It is carried out at the end of the tenancy and will be compared with the original make or check-in to confirm any discrepancies that may have occurred over the course of the tenancy.

The report will be used to confirm if there is any liability on the tenants part to pay for any missing items or damages caused that are deemed to be in excess of standard 'wear and tear'.

As with the original inventory make or check-in, meter readings will be taken for gas, electric and water supplies and will be documented on the report.

Why is there a need for Inventories?

All this ensures that any issues or damages are noted upon the completion of a tenancy.

With the onset of the tenancy deposit regulations that were formalised in April 2007 the need for having professional inventory's carried out has never been greater.

The regulations laid out specific guidelines stating the requirement for security deposits that are collected on the commencement of an assured shorthold tenancy to be placed into an appropriate tenancy scheme. These guidelines also laid out explicit rules on how to deal with the deposits once a tenancy comes to and end, specifically, which deductions, if any are made by the landlord before the deposit is returned to the tenant.

These deductions can only be quantified through the use of a comprehensive inventory make at the commencement of the tenancy and an equally exhaustive check-out report at the contract's end. It is therefore essential that a landlord (or Authorised lettings agent) use an experienced inventory clerk who will provide an impartial and professional service.
